Executive Administrative Assistant

Job description
Supports a Band 2 executive, handling administrative duties.  Performs diverse, advanced and confidential administrative support.  Anticipates and relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive.  Typically manages different and conflicting objectives, projects or activities at once.  Coordinates schedules for corporate level executives.  Communicates with executives and line management to gather/convey relevant information.  Involved in high-level 3rd Party contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.
 
The candidate should be able to operate in a professional business environment that is very fast paced.  This job entails managing the executive’s calendar and ensuring the executive is prepared and on time for various meetings and activities.  Fielding of phone calls and issues is also a key part of this function.  Administrative tasks such as travel arrangements, expense reports, and calendar management are key priorities for this role.  This person also works closely with other executive assistants on the team and throughout Bank of America.  The ability to anticipate the needs of the executive is critical in this role.  This position also requires the candidate to be able to operate in an environment where they have influence, but not necessarily authority; and can manage sensitive and confidential information with judgment and tact.
 
Responsibilities include:
  • Phone coverage, calendar management, travel scheduling and expense processing
  • Communicating and interacting with all levels of the group and across business functions, finance, personnel and technology
  • Serving as a resource for basic company policies and procedures
 
Required Skills & Experience:
  • 5+ years experience providing administrative support at the senior management level
  • Significant time management, multi-tasking and prioritization skills
  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint, OneNote, Visio)
  • Knowledge of Bank of America systems including:  Workday, Concur, Ariba, TechDirect, Flagscape, ACR, ARM, etc.
  • Highly organized with strong attention to detail
  • Ability to work effectively under pressure and time constraints
  • Strong written and verbal communication skills
  • Concur or similar experience processing travel and expenses
  • Exemplary demonstrated work ethic and pro-active “can do” approach
  • Ability to learn quickly and take on new responsibilities
 
Desired Skills & Experience:
  • Prior experience in Financial Services support
  • Prior experience in Cyber Security Industry
  • Previous interaction with high-touch business partners and/or clients via phone and in-person
