HR Assistant/Executive Assistant

Location: Irvine, CA

Job Summary:
  • We are looking for an energetic, knowledgeable, and experienced Human Resources Assistant to support and coordinate essential HR functions.
  • The Human Resources / Executive Assistant will work closely with executive operations management on a daily basis.
  • Areas of oversight and job focus will include recruitment, onboarding and orientation of new staff, training and development activities for management and administrative staff, compliance, employee relations, credentialing and other duties as designated.
  • The Human Resources / Executive Assistant responsibilities will include but are not limited to the following:

Responsibilities:
  • Perform a wide variety of responsible clerical, technical, administrative, and other duties in support of the HR department.
  • Coordinates new hire orientations and ensures that all necessary information and paperwork is completed and filed.
  • Accurate and timely input of new hire paperwork, rehire paperwork, and employee changes in order to assure correct payroll outcomes.
  • Responsible for initiating employee’s terminations per HR outlined process.
  • Ensures that employee personnel records are organized and maintained in accordance with HR processes and government regulations.
  • Researching timesheet and payroll issues.
  • Process confidential employee information.
  • Ensure company compliance for State and Federal laws.
  • Responds to employee inquiries regarding policies, procedures and programs.
  • Assists with employee and wellness events, as well as employee recognition programs in place.
  • Assist management staff with performance review process.
  • Inventory and purchase orders.
  • All other duties as assigned.

Qualifications
  • 2+ years of Human Resources experience (Required)
  • 2+ years of Administrative experience (Required)
  • Bachelor degree in a Business Administration, Finance, Accounting or related major (Preferred)
  • Proficient in Microsoft Office.
  • 1+ year advanced level of PowerPoint and Excel (Required)
  • Knowledge of Government Regulations
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong skills in organization, time management, attention to details and problem-solving.
  • Proficiency in customer service
  • Strong communication and interpersonal skills (verbal, written, and listening)
  • Eagerness to work independently as well as part of a team with flexibility and willingness to learn and take initiative on variety of tasks and projects
  • Highly professional and able to use good judgment and maintain a high level of confidentiality and sensitivity
  • Approachable and appropriate interacting with staff at all levels in a rapidly changing environment
