Finance & Operations Manager

Position Summary & Key Areas of Responsibility
We are looking for a strong addition to our legal operations team with a strong background in financial analysis, accounting, technology project management, and leadership to fill an exciting financial and technology management role within our Law Department.
The Law - Finance & Operations Manager will help to support and enable an excellent Law Department through the implementation and use of progressive systems and technologies, compelling strategies and goals, policies and procedures, training, communication, and key metrics. The Law - Finance & Operations Manager role will report to and assist the Law – CFO & Director of Operations with the collaboration and oversight of all the areas of the Law Department that facilitate the business of law and functions of the legal operations team.
Ideal candidates will possess strong analytical skills with experience in both analysis and operational performance, and demonstrate strategic thinking in all areas of work by actively participating in the development and implementation of best in class law department operations.  The Law - Finance & Operations Manager will play an important role in identifying and implementing continuous improvement opportunities and overseeing the Department’s day-to-day financial processes and systems, and will serve as the Department’s technology manager.  In addition, the Law - Finance & Operations Manager will be able to have a wider impact throughout the Department.  This role will be required to own or participate in many projects with executive level visibility.  Candidates must be self-starters who demonstrate the internal drive necessary to create, validate and manage multiple processes within a tight timeline. 
In addition to the global Law Department, with members in up to 20 different countries, this role will liaise directly with Finance, Treasury, Tax, HR, Audit, members of the Law Leadership Team, and NCR’s General Counsel. 
  • Owns and manages the department’s full financial/budget outlook, providing regular outlook reporting, variance analysis, and guidance on financial trends
  • Assists in the creation and management of an annual Plan
  • Responsible for oversight of a robust financial control framework within the Law Department and ensuring the financials are accurate, timely, and valid
  • Reviews law operations team balance sheet reconciliations at least quarterly
  • Reviews legal spend accruals monthly
  • Drives process improvements and operational efficiencies while seeking opportunities to reduce cost, through the continuous assessment of policies and procedures
  • Participates in the development of strategic initiatives to optimize our legal spend, including developing a working knowledge of industry innovation
  • Trains and assists the legal operations analyst team responsible for the Law Department’s financial and vendor management
  • Manages or participates in department initiatives, including RFPs/e-auctions, outside counsel menu development, billing guidelines/engagement letter updates, matter analysis, metrics and benchmarking, team conferences, vendor rate analysis, billing compliance, and more
  • Maintains a high level of professionalism; handles sensitive/confidential information with appropriate care
  • Assists the Director with the daily operations of the Law Department
  • Fosters a sense of teamwork, success, and positive morale
  • Manages department technology initiatives including legal spend/matter management, legal entity management, legal holds, intellectual property, and compliance systems – from discovery to implementation phase, including overseeing the testing, training, implementation, and adoption
  • Monitors and maintains the interfaces between various systems to ensure complete and accurate recording of invoices in the Corporate ERP
  • Evaluates and monitors the Law Department technology project portfolio; produces an annual tech plan
  • Partners with IT to help implement legal systems, upgrades, enhancements, patches, etc. as needed to support the goals of the department
  • Serves as system owner/administrator for all applications/systems owned by legal operations (e.g. spend/matter management tool), and assist with other Law Department systems administration when needed
  • Provides support for our various SharePoint sites (content updates, etc.), engaging IT as needed
  • Maintains the Law Department intranet site, updating and adding new documents as needed

Basic Qualifications
  • Bachelor’s Degree (B.A. or B.S.) in Accounting or Finance; or Business with Accounting courses. Added focus on Technology is preferred.
  • 5+ years’ experience with a combination of the following:
  • At least 3 years’ experience in an Accounting, Finance, or Audit role, including basic accounting skills, i.e. ability to prepare journal entries and account reconciliations, and
  • At least 2 years’ experience in technology management.
  • Familiarity with SOX or other internal control framework
  • Excellent interpersonal skills; able to communicate with stakeholders in a manner that builds, maintains and enhances a positive working relationship
  • Excellent business judgment and strategic thinker who has a proactive approach to recognizing needs, solving problems, anticipating issues
  • Demonstrated ability to efficiently manage large workload and react promptly to multiple deadlines while meeting personal and team objectives
  • Proficient in Microsoft applications -- Excel, PowerPoint, Word
  • Self-motivated, independent, and resourceful
Preferred Qualifications:
  • Operational experience with legal spend or technologies
  • Demonstrated ability to work cross-functionally and globally, with the ability to consult, build relationships, and/or indirectly influence enterprise-wide or cross-functional teams
  • Six Sigma and/or Lean continuous improvement training
